Trustees can be reimbursed for costs that they've incurred in their role. This can include travel, meals, childcare while at trustee meetings, postage and telephone calls. Your expenses policy should set out which items are legitimate expense claims.

Only reimburse actual costs, and pay against receipts. Extra money may be regarded as taxable income. 

Include an expenses claim form with every agenda. Trustees can always donate their expenses back, and if they are a taxpayer, the charity can reclaim the tax under Gift Aid.
